These terms of use govern the relationship between you, the user, and the service provider for the application Hotline Planner NextGen 2027. By accessing the service, you agree to these terms and our associated privacy policies.

Scope of Service

The Hotline Planner is a professional web-based tool designed for workforce management, including shift planning and absence tracking.

Real-Time Updates: The system allows multiple team members to view and edit schedules simultaneously. Changes made by one user are visible to others instantly to ensure your team always has the most current information.

Calendar Integration: The service provides two-way synchronization with personal corporate calendars (Microsoft or Google). This requires your permission to read and update specific calendar entries related to your work schedule.

User Access & Requirements

Access is granted via corporate authentication. Users must be part of an approved organization or security group to log in. We reserve the right to restrict or deny access if a user account does not meet the authorization rules established by the organization's administrator.

Background Sync: By enabling calendar features, you acknowledge that the system will periodically update your calendar in the background to ensure your availability is accurate, even when you are not actively logged into the web application.

Collaborative Usage Rules

To ensure data accuracy and prevent conflicting entries, the following rules apply:

  • Conflict Prevention: While you are editing a specific entry, that item may be temporarily locked for other users to prevent overlapping changes.
  • Bulk Updates: Large-scale changes (such as copying multiple shifts) are processed as a single unit. If any part of the requested change conflicts with a locked entry, the entire update will be declined to maintain data integrity.
  • Change Tracking: For transparency and collaboration, every modification is logged with a timestamp and the identity of the user who performed the change.

Service Limitations

External Dependencies: The performance of our synchronization features depends on the availability and limits of third-party platforms (Microsoft and Google). Users may occasionally experience minor delays in updates due to external network conditions or platform processing limits.

Automatic Filtering: The system is designed to focus only on work-related scheduling. Personal entries, weekend events, and declined invitations are automatically ignored by the synchronization engine.

System Availability: While we strive for 100% uptime, we cannot guarantee uninterrupted access. We reserve the right to perform maintenance and update underlying technologies to improve security and performance.

Termination & Revocation

You remain in full control of your account and data connections. You may stop using the application at any time by:

  1. Deactivating the synchronization feature within your account settings.
  2. Revoking the application's access through your Microsoft or Google security dashboard.

Once access is revoked, the system immediately ceases all background activity for your account, and all active security tokens are invalidated.
